Why Dynamics 365 Licensing Needs Reviewing
- Licences assigned to people who left. Teams change, but your agreement hasn’t.
- Users on the wrong licence. Are you paying for capabilities many never need?
- Unbudgeted price changes. Licence price movements risk making next year’s bill higher than expected.
- User rights change. Microsoft updates what licences permit, risking overpayment or non-compliance.
- Auto-renewal unless you act. Contracts renew on the same terms unless prior changes are made.

Dynamics 365 uses a role-based licensing model for individual apps aligned with standard business processes. For most licences, you can pay per user/month/application, which provides the flexibility to scale up and down your business operations. Reduced rates are available with 36-month agreements.
Dynamics starts with a base app for each user. Additional apps can be attached at a discounted rate for users who require broader functionality beyond the base. For example, D365 Sales can be purchased as a base app, and D365 Customer Service attached, enabling a user to manage opportunities and cases.
Dynamics 365 Customer Insights – Journeys is an exception with per-tenant licensing.
